Registration Fees

Please kindly note that the registration fees will be charged in Japanese Yen.
For your information, according to the rate at the beginning of May 2022:
  • 1 EUR equals around 135 JPY.
  • 1 USD equals around 130 JPY.
Particular Issue concerning Border Measures
As the difficulty in predicting the government policy regarding the entry of foreign nationals into Japan as of August 2022, we have adopted the following particular refund policy.
  • If you change your registration from onsite to online participation before the conference, We refund the difference after deducting a certain amount of necessary expenses.
  • You can change your registration from online to onsite participation by paying the difference before the conference.

*2 Accompany Persons should be a family (parents, partner, and over 18 years old children) or friends. They are welcome to apply for the conference dinner and the social events. However, as of May 19, 2022, the Japanese government requires a business visa to enter Japan from abroad. Therefore, it is virtually impossible for an "accompany person" to enter Japan as of the above date. The government has already announced that this policy will be relaxed in stages from June. Please check the "Entry Procedures to Japan" page for the latest information.

Other Information (must read!)
  1. Regular participants include presenting authors and session chairs. After the acceptance notice of the full paper, presenting authors are recommended to make the early-bird registration with fee(s) paid by credit card or PayPal. Registration with payment will be required for each presenting paper at the time of full paper submission. Without registration and payment, your paper will be deemed as a withdrawal and thus will not appear in the conference program or in the electronics proceedings.
  2. Ph. D Students and Undergraduate Students are required to send a copy of Student ID to the following registration desk via the on-line registration page.
  3. The conference dinner and technical tours are on a first-come, first-served basis until the number of participants reaches the fixed number.

Visa Application

The registration desk will support your visa application. The fee for issuing visa support is as below.

Visa Application Fee 12000 JPY

The application form for the documents will be sent to you by email at the end of May 2022 for the registrants who completed registration and payment. The fee for visa supporting documents will be charged when you enter the application form.

Application form deadline: July 15th, 2022 (JST)

Visa supporting documents includes below.

  1. Letter of Invitation
  2. Letter of Guarantee
  3. Letter of Reason for Invitation
  4. List of Visa applicants (if applicable)
  5. Schedule of stay

Terms and Conditions

For the registration canceled after July 31st, 2022 (JST), a 100% cancellation fee will apply.

Disclaimer Notice does not apply to the cancellations below.

  1. Delay on visa issuance.
  2. Limit on entry to Japan by the government.

Cancellation Policy

Requests to cancel registration must be sent to the Registration Desk by email. With requests that comply with the following cancellation policy, refunds will be made within two months after the conference. No-shows are not applicable for refunds. The refunds will be made only by the credit card or PayPal account, which was used to pay registration fees. Any transaction fees will be bear by participants.

Disclaimer Notice

  1. The WCCE 2022 Organizing Committee reserves the right to cancel or postpone WCCE 2022 or change the schedule, the venue, or the style of the conference without prior notice, due to the occurrence of any event of force majeure.
  2. Any airfares, accommodation fees, and other expenses paid by a registered participant shall not be compensated by the WCCE 2022 Organizing Committee.
  3. In such a contingency stated above in 1.
    1. If it happens during the conference, the WCCE 2022 Organizing Committee shall not refund any registration fees.
    2. If the WCCE 2022 Organizing Committee decides to cancel the conference, the registration fee excluding costs for proceedings production, start-up, and other related actual expenses shall be refunded.
    3. If the WCCE 2022 Organizing Committee decides to hold the conference in a fully virtual conference, the balance amount between the physical and virtual registration fees, excluding costs for proceedings production, start-up, and other related actual expenses, shall be refunded to the participant registered as physical attendance after the conference.
  4. No damages or compensation, except the refunding of registration fees as stated above in 3., shall be recovered from the WCCE 2022 Organizing Committee.

Changing Registration Type (Physical or Virtual)

Request to change registration type must be sent to Registration Desk by email before the deadline.

Physical to Virtual

Request to change the registration type from physical to virtual by July 31st, 2022 (JST) is acceptable. The balance amount will be refunded after the conference period within two months.

Virtual to Physical

Request to change the registration type from virtual to physical by July 31st, 2022 (JST) is acceptable. The balance of the registration fee will be charged.
